Step-by-Step Process

1. Initial Contact

Reach out to us via email at BengaluruPrayana@gmail.com with your walk idea or proposal. Please include:

  • A short introduction about yourself
  • Your area of interest or the walk concept
  • Whether this is a one-time or recurring walk

We will get in touch to discuss further. If your idea aligns with our vision, values, and quality standards, we will take the following steps.

2. Exploratory Walk

We will schedule an exploratory walk together. This helps us understand the trail, flow, storytelling elements, and any challenges that may arise. This walk is mandatory for all events.

3. Approval & Planning

Once approved, we will:

  • Finalise the date(s), pricing, and hosting structure
  • Discuss whether it will be a co-hosted walk or hosted solely by you
  • Share our terms, code of conduct, and policies to be followed
  • Confirm the platform fee and collection model

4. Promotions & Creatives

We will help create posters and social media creatives based on the information you provide. These will be promoted via:

  • Bengaluru Prayana Instagram and Facebook
  • WhatsApp groups
  • Newsletter (if applicable)

If you are hosting the walk independently, all key walk details must be submitted to us promptly for the creation of digital materials.

5. Walk Day Logistics

Depending on the agreement:

  • Tickets may be collected by you, us, or jointly.
  • You are responsible for conducting the walk professionally, with accuracy and respect for the spaces and participants.
  • Walks must meet the Bengaluru Prayana standard in quality and structure. Please read our terms and conditions section.

6. Payment & Platform Fee

  • A platform fee (per participant) is charged, regardless of the source of the bookings. This is a nominal amount and will be agreed upon in advance.
  • This fee must be paid within one day after the walk is completed.
  • Revenue disbursement will follow the agreed model.

7. Code of Conduct

  • Respect, professionalism, and the safety of all participants are non-negotiable.
  • Any misbehaviour or breach of trust will result in the immediate termination of the agreement.
  • Bengaluru Prayana reserves the right to take legal action in the event of misconduct or damage to its reputation.

Terms and Conditions for Co-hosting Walks with Bengaluru Prayana

These terms and conditions govern the collaboration between individual hosts/co-hosts and Bengaluru Prayana (a platform facilitating curated walks in Bangalore and surrounding areas).

By agreeing to conduct a walk under Bengaluru Prayana, you agree to the following:

1. Proposal and Selection Process

  • Collaborators must contact Bengaluru Prayana via official email or form with a walk idea or proposal.
  • The walk theme must align with the values of Bengaluru Prayana — local stories, culture, community, and experiential learning.
  • An exploratory walk will be conducted with the Bengaluru Prayana team before the walk is approved.
  • Bengaluru Prayana holds the right to reject proposals that do not meet safety, ethical, or quality standards.

2. Content and Promotion

  • Once approved, the host will provide necessary details (walk title, description, duration, meeting point, etc.) and any inputs for creatives.
  • Bengaluru Prayana will support with:
    • Designing promotional creatives
    • Promoting on social media and WhatsApp groups
  • If the host is promoting independently, all material must be pre-approved by Bengaluru Prayana to maintain brand consistency.

3. Platform Fee

  • A platform fee is charged per participant for using the Bengaluru Prayana platform. This amount:
    • It is fixed and agreed upon in the agreement
    • The platform fee is paid per participant irrespective of how many sign up for the walk through Bengaluru Prayana. These go towards the effort and time spent on promoting and creating the digital materials.
    • Must be paid within 24 hours after the walk, regardless of how many participants signed up through Bengaluru Prayana
  • Bengaluru Prayana may also choose to collect payments directly and disburse them to the host according to the agreed-upon terms.

4. Walk Execution

  • The host is responsible for:
    • Ensuring the safety and well-being of participants during the walk
    • Sticking to the agreed itinerary, timings, and script
    • Maintaining professionalism and punctuality
  • Walks must reflect the quality standards of Bengaluru Prayana.
  • If a co-host is involved, both parties must communicate transparently and share responsibilities as mutually agreed upon.

5. Conduct and Safety

  • Any form of misconduct, harassment, or unprofessional behaviour will result in immediate termination of the collaboration.
  • Bengaluru Prayana reserves the right to take legal action in case of serious violations.
  • Collaborators must adhere to local laws, safety standards, and Bengaluru Prayana’s ethical code of conduct.

6. Cancellations and Refunds

  • Walk cancellations must be reported at least 72 hours in advance, unless in an emergency.
  • Refunds or compensation will be handled on a case-by-case basis, in accordance with prior agreements with Bengaluru Prayana.

7. Intellectual Property

  • All content (text, audio, images, maps) created by Bengaluru Prayana remains the property of Bengaluru Prayana unless explicitly transferred.
  • Hosts are not permitted to reuse creatives or content without permission or without providing credit.

8. Consistency and Commitment

  • Hosts are expected to be consistent with the walks they conduct (e.g. recurring monthly or quarterly walks).
  • If a walk is listed as “ongoing,” a minimum number of walks per quarter is expected (unless paused with notice).

9. Liability

  • Bengaluru Prayana is not responsible for any personal loss, injury, or damage during the walk.
  • Hosts are advised to take all necessary precautions and are liable for handling emergencies professionally.

10. Termination of Agreement

  • Either party can terminate the collaboration with notice.
  • In cases of breach of terms, especially misconduct or non-payment, Bengaluru Prayana holds the right to terminate the agreement immediately.
